DUTIES AND RESPONSIBILITIES

Essential Job Functions: Performs administrative/secretarial duties for Superintendent and Administrative Assistant with a wide range of complex and technical functions pertaining to the operations of Water Distribution/Sewer Maintenance. Creates data bases for monthly reports to management. Uses computer and/or typewriter to prepare payroll, requisitions and purchase orders. Establishes and maintains files; composes and types interoffice memorandums and letters; receives visitors; answers telephone inquires; takes messages and/or transfers calls as appropriate; processes purchase orders and check requests; orders office supplies as needed; assists in the budget process; makes travel arrangements; coordinates work schedule; prepares monthly attendance statements; coordinates office equipment repairs; prepares accident reports and worker's compensation reports; may attend meeting for the purpose of taking notes; distributes mail; prepares information for solicitation of bids; assists in scheduling various programs involving the general public and/or city personnel and participates in such programs if required.

WORKING CONDITIONS

Works inside in a normal office environment. Is subject to constant noise of voices, telephones and machines. May be exposed to dust mites, spiders and chemical fumes. Must be able to sit for long periods of time. Must be able to work Monday thru Friday 8:00 a.m. to 5:00 p.m., and overtime as required.

MINIMUM ESSENTIAL QUALIFICATIONS

Knowledge: Thorough knowledge of secretarial practices and skills, modern office practices, procedures, and equipment; knowledge of proper business letter format, grammar, and punctuation, office purchasing and budget procedures; knowledge of microcomputers and word processing; knowledge of records preparation and maintenance; knowledge of basic bookkeeping and mathematics.

Skills/Abilities: Ability to prepare and/or maintain a wide range of complex or general reports and records; ability to compose correspondence on routine matters and to perform routine management details if necessary; skill in the operation of a typewriter, PC, 10-key calculator, and other standard office equipment; ability to communicate both orally and in writing; ability to work with the public; ability to maintain effective working relationships with co-workers and other City employees; ability to work in a busy office environment. Ability to handle multiple tasks simultaneously.

Physical Requirements: Constantly sees and hears; frequently sits, uses calculator, performs data entry, files, operates PC; writes by hand, types, sorts, walks, stands; infrequently carries objects weighing up to 25 lbs., drags, pulls, and pushes objects weighing up to 25 lbs., lifts objects weighing up to 30 lbs., cleans, kneels, squats, and stoops.

Education/Experience: Graduation from high school including or supplemented by courses in secretarial and general clerical work or two years experience in the secretarial field. Considerable experience in Word Perfect, Lotus 1-2-3, and AS-400 system preferred; experience with personnel, payroll, and accounting procedures preferred. Typing test required: must type 50 wpm; 55 wpm preferred.
